Competition Entry Procedure

Deciding on which competitions to enter


  • All competitions that our club will participate in (at squad level) will be published on our website Competitions Calendar.
  • Swimmers decide, in consultation with coaches, which competitions to enter. These should be in alignment with goals that you and your coach have set during the year. You may consult your coach to guide you in your event selection for each competition.
  • Coaches will hand out meet flyers to individual swimmers. Your meet flyer will correctly state the start times, and your coach may advise of earlier (or later) warm-up times.  These flyers can also be found by clicking on links in the details of individual meets in the Competition Calendar.

  • Be aware that some meets have qualifying times. Read more.
  • It is important to note down correct entry times because if you submit your entries without entry times, you will be placed in the slowest heat or if you enter an incorrect time you will not be placed in the correct heat. Make sure that you double-check your event numbers as sometimes boys and girls event numbers are printed on the same line and this is easy to mix up if you are in a hurry.
  • If you do not have an entry time for an event and are a new swimmer, enter NT to indicate that you have no time and wish to be placed in the slowest heat.
  • If you do not have an entry time for an event but are not a new swimmer, coaches may wish to estimate an entry time to ensure that you are entered in an appropriate heat. If unsure please consult with coaches before completing the entry form.  This does not apply to any meet that requires a qualifying time.
  • Sign your entry form - in some instances swimmers and parents must sign - please check your form as your entries will not be processed by the host club if unsigned.

Payment for entries


  • Entries will not be processed at all by the Ivanhoe Neons Competition Officer without correct and accurate payment.
  • Cheques:  Make all cheques payable to Ivanhoe Neons Swimming Club, unless notified otherwise.  Please write, on the reverse of your cheque, your child's name and the meet name.
  • Credit Cards:  If you are paying by credit card, please be aware that all credit card transactions will be processed through the Joanne Love Swim School.
  • Cash:  Please use cash as a very last resort.

Submitting your entries


  • All entries have a closing date by which they must reach the Ivanhoe Neons Competition Officer for processing. This is well before the actual meet closing date so please make sure you are aware of this date as late entries cannot be processed through the club.
  • All entries must be submitted in a sealed envelope with your name and the competition name clearly written on it before the above-mentioned club closing date.
    • During Office Hours:  Please submit your entries in your sealed envelope in the box provided in the Office.
    • Outside Office hours:  All entries (in sealed envelope) must be handed to Head Coach (Joanne Love) when Joanne is on IGS pooldeck. Please do not hand entries to other coaches or to Joanne at places outside of IGS. Joanne will only accept entries on pool deck in a seal envelope and when the office is not open. 
  • It is your responsibility to ensure that you get your entries in on time, so please do not leave it for the last minute.
  • If you have missed the club closing date it may still be possible for you to submit individual entries to the host club - but please be aware that if places are limited, your entry may be knocked back if not submitted together with the rest of the club entries.  Always inform your coach or the Competition Officer if you have submitted individual entries.

The day of competition


  • Your coach will advise you of the time that you must be at the pool for warm-up. Sometimes this is not the same as pool entry time, so please remember to ask your coach.
  • For Metro North meets only: No programs are available at the door. You are required to print off your own program - retrievable from the Metro North website or the website Event Calendar. These programs will be made available once the program is finalised - usually a couple of days before the meet.
